OVERVIEW:
Coordinates and provides administrative support for the Operations department.  Assists in managing and coordinating division programs and projects. Performs complex and confidential administrative functions to ensure operations flow smoothly.
 
DUTIES AND RESPONSIBILITIES: This general overview only includes essential functions of the job and does not imply that these are the only duties to be performed by the employee occupying this position.   • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Maintains workflow by studying methods; implementing cost reductions, and developing reporting procedures and analysis.
  • Anticipates division needs to provide the most efficient and effective service to consistently meet tasks, goals, and deadlines.
  • Utilizes communications and teamwork skills to support division and corporate goals, provides creative input, and assists in policy and procedure development to improve organizational effectiveness and division service to customers.
  • Serves as a liaison between the assigned department, other departments, staff members, vendors, and customers.
  • Researches, compiles, and/or monitors administrative or statistical data about their assigned department.  Prepares presentations based on the data.
  • Creates and revises systems and procedures by analyzing operating practices, record-keeping systems, forms control, office layout, and budgetary and personnel requirements, and implementing changes.
  • Assists with the development of division administrative staff by providing information and experiential growth opportunities.
  • Prepares invoices, reports, budgets, and requests, and maintains data as required for division operation and support.
  • Maintains division-filing system, ensuring record-keeping and reporting comply with division and NOVEC record retention policies and procedures. Prepares and tracks off-site record retention for the division.
  • Manages or conducts special projects as assigned.
  • Works continually towards self-development to maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices, and participating in professional societies.
  • Handles and maintains integrity and confidentiality of highly sensitive human resource and management information and records.
EDUCATION AND EXPERIENCE:
  • An associate’s degree in business is required or an equivalent combination of education and experience. 
  • Three to five years of related experience and/or training including experience in providing administrative support to all levels of management.
 KNOWLEDGE, SKILLS & ABILITIES:
  • Demonstrated ability to function independently in a multi-task environment, as well as part of a team.
  • Demonstrated knowledge of all company policies and procedures as well as all applicable federal, state, and local laws. 
  • Demonstrated knowledge of generally accepted accounting principles and mathematical skills.
  • Demonstrated intermediate level of proficiency with general computer operation and Microsoft Office applications.
  • Demonstrated ability to communicate effectively and efficiently with all levels within the organization and with the general public.
  • Demonstrated ability to anticipate and meet rapidly changing customer and business needs by quickly refocusing and realigning strategic and operational direction.
  • Demonstrated knowledge of contract administration and research techniques.
  • Demonstrated ability to work in a data-intensive environment. Knowledge of information systems requirements.
  • Demonstrated ability to handle and maintain the integrity of sensitive material, confidential business data, and human resources information.
  • Demonstrated organizational and analytical skills.
