Executive Assistant

The Executive Assistant’s main objective is to enhance the Executive Director’s effectiveness by providing a full range of office management and administrative support to facilitate the efficient operation of the Danielsen Center for Hope after Loss (“Danielsen Center” or “the Center”). Additionally, the Executive Assistant oversees the center, providing staff oversight and leadership when the Executive Director is not in the office.


Primary Responsibilities
 
  • Assist the Executive Director in running the Center efficiently, always keeping the primary focus on the well-being of our clients.
  • Manage the donor database by keeping complete records of donations and maintaining accurate contact information. Send donation acknowledgements, produce mailing lists and create reporting of giving results and trends.
  • Use QuickBooks to manage the financial records of the Center. Pay bills, track donations and expenses, and produce monthly financial reporting.
  • Serve as the main communication point with the marketing firm. Provide them with all events and group information, compile content for the quarterly print newsletter and monthly e-newsletter, proof all output, partner on marketing projects.
  • Manage multiple Outlook calendars to include the Executive Director’s and Center Activities calendars.
  • Keep Policies and Procedures up to date and communicate them to the staff.
  • Oversee the staff in the Executive Director’s absence. Serve as backup to the receptionist by handling client calls as needed.
 Qualifications
The Executive Assistant will have organizational and administrative skills as well as a Christian heart of service for their coworkers and the clients served by SCSM.
 
  • Driver’s License
  • High School Graduate.
  • A minimum of five years’ experience as an Executive Assistant or relevant office administration.
  • Excellent computer skills (Word, Outlook, Excel, etc.)
  • Experience in bookkeeping and QuickBooks
  • Database management experience
  • Excellent verbal and written skills with a proficiency in writing and editing,
  • Self-motivated and able to work alone, yet able to lead and thrive in a team-based environment
  • Ability to prioritize and multitask, juggling multiple tasks at the same time
  • Able to process and work through stressful situations
  • Integrity
